One RedTitan customer operates a worldwide network of automobile finance dealerships. Data and document design is managed centrally, while sales contracts and invoices are printed at local offices, across eight countries, in different languages.

The company’s ERP application, the accounting package SAP, did not have the printing capabilities the client required. A key requirement for a new print system was the ability to format documents attractively and make changes easily.

The company also wanted to control the generation of the documents centrally and distribute these for printing on demand in 1000s of local offices, on various types of printer. The printers used are typically Hewlett-Packard, but local buying policies mean that any PCL-compatible printers could be used in the future. The client considered using a standard word processor for their documents, but were aware of the difficulties of moving these around the WAN. The documents were memory-hungry and so another requirement was to slim down the datastream.

RedTitan won the contract after a thorough evaluation of the competition showed that only RT5000 could supply the perfect combination of features and future capabilities at the right price.

Documents are prepared and tested in the one country and transmitted over the WAN via the data centre in another country to eight centres around the world where documents are printed and customised for dealers in the local area. RT5000 compresses multiple documents into a single file, thus preserving band width on the corporate WAN. Documents can be routed to different printers and so the system has the potential for documents to be sent across LANs to print at each local dealer. RT5000’s flexibility with output does not tie the customer into specify printers.

The content of documents is controlled centrally, so that the corporate standards, such as the company logo, are applied consistently across all the local offices. Yet each document is customised on-the-fly with the dealer’s letterhead, logo and footer, signature, as well as customer’s details. The system also calls up the correct language text from the six different languages being used. More sophisticated formatting with proportional fonts is now a reality, and changes, for example to customers’ details, are easy to make.

RedTitan specialises in tailor-made solutions: built into RT5000 are many features that the company can utilise in the future. For example, generating TIFF files for archiving documents and using browser technology to pull documents from the network.
